The Role

An opportunity has arisen to work for the UK division as part of a busy, in-house marketing team providing administrative support to the Marketing Director (UK Board Member) and the 2 Heads of Department, as well as the HR Director (UK Board Member). We are looking for someone who is highly organised, an excellent communicator with the ability to multi-task. You must have a keen attention to detail and be able to prioritise effectively.

Key Accountabilities

Support to the Marketing Director and wider Marketing team:

  • Close working relationship with the Content and Marketing channel and data/tech/analytics teams to provide administrative support to the Marketing Director and the two Heads of Department in the Central Marketing Department.
  • Organising meetings including agenda planning, room bookings, taking minutes & actions, distributing in a timely manner and following up
  • Managing Purchase Order system and payment of invoices including invoice tracking and budget
  • Managing expense claims
  • Recruitment administration including interview bookings, new starter & leaver process and induction planning
  • Weekly report collation
  • Information Management Lifecycle set-up
  • Update upgrade pages for all show websites
  • Regular credit card reconciliation
  • Refresh Tableau reports on a weekly basis
  • Organise team socials e.g. Fizz Friday/Thirsty Thursdays & every couple of months a bigger social
  • Gather nominations and reward SPOT awards every 2 months
  • Head up the Change Agent group to drive change within the team to make it a better working environment
  • Organise schedules and support external colleague trips e.g. Talent Exchanges
  • Support the management of the Marketing Network Forum meetings – 4 per year.
  • Proactive involvement in on-going team projects in order to provide support with key milestones
  • Preparation of documentation and presentations
  • General administrative support including travel, managing diaries, emails and holiday requests

Support to the HR Director and wider HR team:

  • General administrative support including travel, managing diaries, emails and holiday requests
  • Other general HR & L&D admin tasks as and when required

  • An excellent communicator, team player and problem solver with a strong attention to detail
  • Strong multi-tasking and organisational skills, resourceful.
  • Ability to anticipate events / issues – and use initiative to resolve sudden changes to itineraries etc.
  • Being one step ahead, i.e. problem solver
  • Good time management
  • Prioritising day/week/months ahead
  • Confidentiality is required
  • Excellent IT skills : Advanced Word, Excel, PowerPoint and Outlook are a must
